Licence reconciliation

Each licence is given the products of the software inventory it covers, chosen by hand from suggestions. The page Licence management shows per licence:

• the devices the software is installed on;
• the seats its licence model requires (per user: each responsible person once);
• seats bought and assigned;
• devices with the software but without a seat, and unused seats.

Licences short of seats come first. Installed software without a licence is listed; system components and free software can be hidden.

Costs, budgets and forecast

• Costs of licences and contracts are kept as a monthly figure and shown for the last 24 months.
• Budgets per year, category and currency are set by administration and information security.
• The forecast for the year deducts licences decided not to be renewed from their end.

Renewals

Licences ending within a period of your choice, and expired ones, become renewals with a state (open, in review, renew, cancel, done), a responsible person, a due date, a note and the decision with its reason. A renewal can write the new end into the licence, with the right to change licences. Renewals ending within 30 days without a decision are shown on top.
